Switching
Here is exactly how the move works
Every step, what we do, what you do, and what it costs. Published, because the reason most dealers stay on a system they hate is that nobody will tell them what leaving involves.
What comes across, and what does not
The honest version. Every migration has a "does not" list and hiding it is why dealers end up surprised in week three.
| Data | Comes across | Notes |
|---|---|---|
| Customers and contacts | Yes | From CSV or a direct export from most systems. |
| Current floor stock | Yes | Including serials, costs and acquisition dates. |
| Parts file and stock levels | Yes | Supplier codes map where they exist. |
| Open jobs | Partly | Work in progress is re-entered at cutover rather than mapped across. A job that is still moving, with parts on order and labour part booked, does not translate cleanly from one system to another. Most dealers pick a cutover date, finish what they can on the old system and open new work on the new one, so what gets re-entered is only what is genuinely still live on the day. |
| Historical job cards | If your old system exports it | We can import job history whenever it comes out in a usable format. The limit is almost never us, it is the system you are leaving: plenty of them cannot export it at all. Send us a sample export and we will tell you which it is before you commit to anything. |
| Accounting history | No | Stays in Xero or MYOB, where it already is and where your accountant wants it. |
What it costs
For most dealers, nothing. For a few, we will quote you first.
Included
When we do charge for migration
Some dealerships are genuinely harder to move, and pretending otherwise would just mean an unpleasant surprise in week two. If any of these apply we will scope it and give you a fixed number before you commit to anything. You will never get an invoice you have not already agreed to.
Multiple sites merging
Two or more systems being consolidated into one, with duplicate customers and overlapping parts files to reconcile.
Long transactional history
More than about five years of jobs, deals and invoices that you want carried across rather than left read only on the old system.
A bespoke or in house system
Anything without a clean export. If we have not seen the format before, somebody has to write the mapping.
Non standard parts data
Supplier codes that do not map, or a parts file that has been maintained by hand for a decade.
Give it two weeks. We'll help you get set up.
There's nothing complicated about getting started, and you won't be doing it alone. We'll show you how to set it up around the way your dealership already runs, then stay in touch while you find your feet.
